Q:我们跟一家大公司有生意往来,最近我致函该公司,有一句说 Please note....(请留意……)但老板认为 Please note 等于「知会」对方,不很礼貌,只可用于平辈或下属,对吗?又公函是不是不宜用 How are you?(近来好吗?)之类闲话开头?
A:Please note 这说法完全没有不当。从前,英文信件用语往往谦恭卑下,例如有事通知别人,会用 We beg to advise that 、 We beg to inform you that (现谨乞请垂听)之类说法起句。但这样的写法今天只会当作笑话。
读者那位老板以为 Please note 「只可用于平辈或下属」,殊不知现代英文公函措词的基本原则就是双方平等,用语固然务求客气,但重不卑不亢。表示「有事奉告」,可用以下方式起句: You will be interested to know that 、 I am writing to inform you that 、 I would like to inform you that 、 I regret / am pleased to inform you that 、 May I draw your attention to 、 Please note that 。
例如小运输公司可以写信告诉大顾客: Please note that we cannot be held responsible for the delivery delay, which was beyond our control (是次运输延误原因与敝公司无关,恕难负责,敬请亮察)。
至于公函开端,当然不应说 How are you?即使朋友通信,也很少一开始就说 How are you?新中国公函私函习惯劈头就是一句「您好」,英文信件可不会这样。有消息要告诉朋友?信中第一句可以说: Hang on to your hat! I have news for you 。很久没有写信给朋友?第一句可以说: So much has happened since I last wrote you 。千万不要说: You are good!
